Privacy policy

This policy explains what Mental Caddy collects, why we collect it, who we share it with and how you get rid of it. Mental Caddy is operated by First Class Leaders in Ontario, Canada and we handle personal information under Canada's Personal Information Protection and Electronic Documents Act.

Information you give us

When you create an account and use the app we collect:

  • Account details. Your email address and name, either typed in directly or passed to us by Google when you choose Continue with Google. We never receive your Google password.
  • Golf profile. Handicap, handedness, typical shot shape, club distances, preferred units, timezone, home course and the tee you play from.
  • Personal details you choose to add. Date of birth, gender, home town, province and country. These drive age based stats and the community features.
  • Round data. Scores, shots, strokes gained, mental moments, pre shot routine responses and the notes you write during and after a round.
  • Community content. Your profile photo, posts, comments, likes, group and direct messages, play requests and tee times.
  • Anything you send us. Feedback, support emails and account deletion requests.

Information we collect automatically

  • Location. If you allow it, the app reads your device location to find courses near you, post and find tee times and show the course map. You can refuse and the rest of the app still works. Your home course coordinates are stored on your profile so tee time alerts can work without live location.
  • Usage and technical data. Basic records of activity in the app so features like badges, streaks and stats work, plus the standard server logs our hosting provider keeps.

Mental Caddy runs no advertising trackers, no third party analytics scripts and no cross site tracking pixels.

How we use it

  • To run the app: keep your rounds, stats and profile, and show them back to you.
  • To generate coaching. Your round context is sent to an AI model so the app can write coaching cues and practice plans for you.
  • To power the community features you opt into, including tee times, messages and nearby golfer alerts.
  • To send the emails you turn on, such as the daily tip, and the transactional emails you would expect about your account or subscription.
  • To take payment and manage your subscription.
  • To keep the service safe: acting on reports, enforcing the terms and fixing problems.

We do not sell your personal information and we do not share it with advertisers.

Who we share it with

We use a small number of service providers. Each one only gets what it needs to do its job.

  • Base44, which hosts the app, the database and the sign in system.
  • Google, if you sign in with a Google account.
  • Stripe, which processes payments. Stripe handles your card details directly and we never see or store your full card number. We keep your subscription status, plan and Stripe customer reference.
  • An AI model provider, reached through Base44, which generates the coaching content. We send the round and profile context needed for the coaching request.
  • GolfCourseAPI, which supplies course, tee and hole data. We send course search terms, not your personal information.
  • Email delivery infrastructure, so the daily tip and account emails reach you.

Some of these providers process data outside Canada, including in the United States, which means data may be subject to the laws of those countries. We will also disclose information if the law requires it or to protect the safety of our users.

Other golfers can see some of this

The community features are social by design. Your profile name, photo, home town, handicap and badge tier are visible to other Mental Caddy users, and anything you post in a group chat, a tee time or a direct message is visible to the people you sent it to. Your email address stays hidden unless you turn on the setting that shows it. You can block and report other golfers from inside the app.

How long we keep it

We keep your account data for as long as your account exists. When you delete your account we remove your profile, rounds, scores, mental moments, club distances and personal details. Messages you sent to other people may remain in their copy of a conversation, and we keep the minimum billing records our payment processor and tax obligations require. Backups roll off on their own schedule.

Your choices and your rights

  • See and correct your data. Almost all of it is editable from Settings and your profile.
  • Delete your account. Settings has a Delete My Account option, and there is a public page at /delete-account if you cannot sign in.
  • Turn off emails and notifications from Settings at any time.
  • Refuse location access in your device settings.
  • Ask for a copy of what we hold about you, or complain about how we have handled it, by emailing kyle@firstclassleaders.ca. If you are not satisfied with our answer you can contact the Office of the Privacy Commissioner of Canada.

Security

Access to your data is controlled at the database level so other users cannot read your private records, traffic runs over HTTPS and payment card data never touches our servers. No service can promise perfect security, so please use a strong, unique password and tell us straight away if you think something is wrong with your account.

Children

Mental Caddy is built for adults and is not directed at children under 13. If you believe a child has given us personal information, email us and we will delete it.

Changes to this policy

If we change how we handle your information we will update this page and move the date at the top. Significant changes will also be announced in the app.
